DWT’S Terms And Conditions


Applicability:  All bookings made through DWT are subject to the terms and conditions stated herein.

Bookings & Rates:

  • Bookings can be made through the following:
  • Website
  • Support Center (for those properties or services not found on the website)
  • Bookings should be made only for genuine reservations. DWT reserves, at our absolute discretion, the right to cancel FIT bookings made by the agency if they appear to have been made for the purpose of “holding space” for future sale or otherwise made in bad faith or contrary to this agreement.
  • All rates quoted are confidential, net non-commissionable, in U.S. Dollars and include all applicable taxes.
  • Some hotels and resorts does require the guest to pay; city tax, resort fee, amenity fee or facility fee directly at time of check in and cannot be prepaid.
  • Until a booking is confirmed by the Supplier, rates are subject to increase due to factors beyond DWT’s control, including, but not limited to, tax increases, previously unknown blackout dates, holidays, and/or special events.  DWT reserves the right to change rates as a result of the foregoing.
  • Customer shall not be entitled to any refund or rebate in the event that DWT’s rate is higher than a Supplier’s official rack rate.  As used in these Terms and Conditions, the term “Supplier(s)” shall mean the hotels, restaurants, tour operators, transportation companies, shows, and any other unaffiliated third parties for whose services DWT provides booking access.
  • Any requests such as early check in, late check-out, high floors, adjoining, interconnecting, non-smoking and others alike will be requested from the hotel but, cannot be guaranteed.
  • Bedding type should be requested at the time of booking and is subjected to hotel’s availability.
  • All hotels require a valid credit card or cash to be given at the time of check in by the guest as a guarantee for any extras/incidentals occurred during the stay, which hotel will refund upon check out after deducting any extras/incidentals. DWT is not responsible for the extras/incidentals incurred by the guests unless prior arrangements has been made by DWT and the Customer. Any amendment done on a booking confirmed on a special rate, minimum/long-stay promotions may incur rate change. This is also applicable to no-shows.
  • Mark-ups, handling fees and commissions are not applicable on cancelled bookings with charges.

Booking Errors: DWT reserves the right to cancel any booking due to clerical or technical errors beyond DWT’s control, including, but not limited to, misinformation provided to DWT by a Supplier.

Canceled Inclusions: DWT is not liable in the event that, after booking confirmation, a Supplier cancels a service that was to be included (e.g., breakfast).  No refunds will be given in the event of any such cancellation or non-use by the guest

No Agency:  DWT is an independent, third-party and is not an Customer of, joint venture with, or partner in any capacity with the Suppliers.  DWT does not own, control, or manage any Supplier.  Furthermore, nothing contained in these Terms & Conditions, or through access and use of DWT’s website and/or Direct Connect XML Interface, may be construed as creating any agency, partnership, or joint venture relationship between DWT and Customer.

No Liability:

DWT shall not be liable for, and Customer releases DWT from any and all liability for injury, damages, or losses, arising from or related to the actions of a Supplier.

DWT recommends that Customer’s and/or their end-user guests purchase appropriate insurance.

DWT is making no representations, undertakings, or warranties in relation to the DWT Inventory including as to the description of the DWT Inventory and availability of the DWT Inventory and has no liability in relation to those matters.

Any information provided on the Website in relation to the DWT Inventory is provided as general information and DWT shall not be liable if any such information is incorrect or inaccurate in any respect.

DWT is making no representations or warranties in relation to the Booking System and is not liable in any respect for any failure of the Booking System.

To the fullest extent permitted by law, you waive any rights of action or claims relating to or arising from the use of a credit card for the purposes of making a booking on the DWT website. Furthermore, you will fully indemnify and hold harmless DWT against all claims, actions or disputes brought against DWT by any credit card holder (“Claimant”) relating to or arising from a booking made on the DWT website by you using the Claimant’s credit card.

Hotels may release the rooms after midnight on the day of arrival. If your guests are arriving late, it is your responsibility to inform us via remarks, email or contact the emergency number for last minutes changes, so we can advise the hotel to hold the rooms. If we do not get any updates from you for late arrivals and the room is released, DWT is NOT Liable to re-book the rooms and no refunds will be given.

DWT is not liable for any charges for the mistakes and incorrect information given by the Customer at time of booking. All Charges will be billed to the Customer.

Any disputes arising shall be governed by and construed in accordance with the laws of the United States of America.

Force Majeure:

  • DWT shall not be held responsible for the consequences of Acts of God, fire, severe weather conditions, unavoidable accidents, theft, labor disputes, public commotion, war, or any other circumstance beyond DWT’s control.
  • In case of such event, Any cancellation and refunds will be at the discretion of the hotel and DWT will not be cancelling or refunding any booking until DWT gets the approval from the hotel.

Special Policies and Bookings:  For any special bookings, including, but not limited to, triple and quad occupancies, children policies, transportation, accommodations, etc., the individual booking policies of the Supplier shall apply and govern.  Please see individual Supplier terms and conditions for full details.

Group Bookings:  Group bookings are generally considered to be ten (10) rooms or more. Bookings for more than nine (9) rooms (some Suppliers may consider a lesser number of rooms a group booking) should be addressed to DWT’s offline department at res@dwtus.net

Changes to Confirmed Bookings:

  • DWT reserves the right to deny any kind of change or modification to an existing booking.
  • No change to a booking shall be effective until Customer receives written confirmation of the change from DWT.
  • Customer acknowledges and confirms that individual Suppliers’ cancellation policies may change over time and Customer bears full responsibility for any cancellation charges that may apply at the time of cancellation even if they differ from those at time of booking.
  • Please refer to the individual Suppliers’ change and cancellation policies.
  • Any Rate changes will be billed to the Customer.

Amendments:  These Terms and Conditions are subject to change without notice to Customer.  Customer’s continued access and use of DWT’s website and/or Direct Connect XML Interface shall constitute and be construed as Customer’s continued and ongoing agreement to these Terms and Conditions.

No Waiver: No failure by DWT to require Customer’s strict performance of any provision of these Terms and Conditions at any time shall be deemed a waiver of such provision nor shall it affect DWT’s right thereafter to enforce and require strict compliance with each and every provision herein.

No Third-Party Rights: No provision of these Terms and Conditions is intended nor shall be interpreted to provide or create any third-party beneficiary rights.  All provisions hereof shall be solely between and for the benefit of DWT and Customer.

Travel Restrictions:

  • Customer acknowledges that travel restrictions may exist for locations for which DWT provides Services.
  • It is Customer’s sole responsibility to ensure that Customer’s clients comply with all applicable governmental or other travel restrictions to or within a particular country.
  • DWT shall not be responsible and shall not refund any Bookings that are cancelled for failure to comply with governmental or other imposed travel restrictions.

Complaints: Any booking complaints should be raised no later than 15 days after departure date and must be supported with proofs. Any unsupported complaints will not be entertained.

Book outs: In situations where hotel is required to close due to reasons such as overbooking, system errors, government taking over the hotel/property for their use and other force majeure, DWT will endeavor to find a suitable alternative accommodation for your guests. DWT will try to offer alternative of the same category and location, whenever possible. Customer will be invoiced as per the hotel or accommodation bearing the lower cost.

Payments, Invoices and Refunds:

All bookings’ invoices will be issued on the booking’s arrival date. Payment is due as per the number of days specified in your Agreement.

We reserve the right to suspend/block your system access, cancel all future bookings and/or terminate the contract if payments are not made as per the agreed period or deadline.

In the event of any cancellation by you, the cancellation policies of the relevant hotels may be applied to the cancellation and passed on to you, in which case any hotel cancellation charges that DWT incurs will be payable by you to DWT as a debt immediately due and payable, or applied to the credit card you have provided.

For Credit Customer: You shall make payment for the services availed by Bank Wire or Credit Card, and in case of non-payment within 7 days of the due date you, the Customer, shall be liable to pay interest at the rate of 0.1% per day till the date of payment of the full amount.

For Cash or Credit Card paying Customer: Payment would be due at time of booking and incase of any cancellation and refund due, DWT will hold the Refund amount as credit under Customer profile for future use and will NOT be refunding back to the credit card.

It is your responsibility to add and train ‘Staff’ or users under your account and to monitor all their bookings. You will be responsible for all payments due on such bookings.

In the occasion where hotel is under renovation, all possible steps will be taken to limit disruptions to the guests. If the hotel is carrying out renovation while guests are in-house, this will not entitle you to any refunds.

Double bookings may result in both bookings being charged.

In case of No Shows then Hotel’s and Transportation booking conditions and charges applies, and this will not entitle you to any refunds or credits.

Customer will be billed and is liable for any charges incurred due to incorrect information given on the booking


Reservations must be cancelled directly on our website or via email. Cancellation terms and policies are usually outlined in the reservation. The acknowledgement in return will be the confirmation of the cancellation, and it will be taken as of the date and time of cancellation. The client is liable to pursue the acknowledgement.

Customers are not allowed to cancel or amend directly with the hotel. Any cancellations or amendments made directly with the hotel shall not be considered valid. The Customer should make all the cancellations and amendments and/or early check outs with DWT authorization by using the online system or through email to DWT. All booking amendments are subjected to the amendment policy stated on the booking if there is any otherwise, it will follow the same deadlines & charges of the cancellation condition.

During exhibition and events periods, the terms of cancellation could be different from the standard terms. It is Customer’s duty to pay attention to such unusual cases.

All booking cancellations are subjected to the cancellation conditions of the booking.
